CRM and sales systems. Every lead reaches a person.

Madak builds and runs CRM and sales systems for B2B companies: a CRM set up the way you actually sell, every lead routed to a person, and the email, follow-up and reporting around it.

Who it’s for. Teams whose CRM became a filing cabinet.

A CRM should tell you who to call next and what happened last time. Most become a list nobody trusts: duplicates, stale stages and deals that live in someone’s inbox. We rebuild it around how you sell, and keep it that way.

  • Leads sit for days before anyone replies
  • Deals live in someone’s inbox
  • The same customer exists three times in three tools
  • Nobody can say which channel produced last quarter’s deals
  • Reps spend more time assembling than selling
  • You pay for a CRM most of the team avoids

That’s exactly the work we do.

What’s included. The machinery around the deal.

  • CRM build or rebuild

Pipeline stages that match how you sell, the fields you actually use and clean data, in HubSpot and others.

  • Lead routing and follow-up

Every form, email and booking assigned to a person, with response-time rules and follow-up that doesn’t depend on memory.

  • Website and tool integration

Your site, CRM, email platform and analytics connected, with the source recorded on every lead.

  • Email and nurture

Segmented lists, sequences and newsletters that keep prospects and customers warm.

  • Sales reporting

Pipeline by stage, source and rep, in one view you can trust.

  • Ongoing administration

Data hygiene, new fields, new automations and training, so the system stays useful after launch.

How it runs. Fix the leaks, then build.

Sales systems, explained. What a working one looks like.

  • What a sales system is

A sales system is the CRM and everything connected to it: the forms and bookings that create leads, the rules that assign them, the emails that follow up, the proposals that go out and the reports that show what’s working. When it works, every lead reaches a person quickly and nobody has to remember what happens next.

  • Signs yours is leaking

Replies that take more than a business day lose buyers who are talking to your competitors.

If a lead doesn’t carry where it came from, you can’t tell which channel to fund.

The same person in three tools means three versions of the truth.

Opportunities tracked in someone’s email disappear when that person is out.

  • How we build it

We start with how you actually sell, then shape the CRM to match: stages that reflect real decisions, fields people use, and rules for who owns what and how fast. Then we connect the website, booking, email and reporting so data flows without anyone retyping it. We work in HubSpot most often, and in Salesforce, Bloomerang, NeonCRM and others when they fit better.

  • Run, not just set up

Most CRMs fail after launch, not at it. Madak stays on to run the system: cleaning data, adding automations, training new people and changing the pipeline when the way you sell changes.

  • What it looks like in practice

For the US Rugby Foundation, grant applications, nominations and event requests moved from PDFs and email into NeonCRM, alongside event registration and annual giving days; its Giving Tuesday campaign passed a $50,000 goal in 2024. For the University of Florida’s rugby alumni association, Bloomerang became the alumni database and fundraising platform, connected to the website with online giving and membership payments. For the Seattle FIFA World Cup 26™ host committee, Madak ran the HubSpot email system, moving and cleaning contact lists from the Seattle Sounders.

Questions, answered.

HubSpot most often, and Salesforce, Bloomerang, NeonCRM and others. We recommend what fits how you sell and what your team will actually use, and we work in the CRM you already have when it can do the job.

Yes. We remove duplicates and fill gaps in records, set lifecycle rules, rebuild stages that no longer match how you sell, and write down how the system should be used.

Within one business day at most, and faster is better. We set routing and response-time rules so every lead reaches a person and nobody has to remember to check an inbox.

Yes. Ongoing administration is part of the service: data hygiene, new fields and automations, training, and changes as your sales process changes.

It runs inside full-service projects from $7,000 a month. For a focused fix, packs of hours start at $1,000 for 5 hours.

A prioritized plan for which collateral to build first, based on where your deals are actually stalling. Rather than building everything, we find the highest-leverage assets and sequence them.
